The maintenance log is a document containing the history and schedule of maintenance work in the building 's common areas . In addition, this log includes repair manuals, a list of companies and contractors who have performed the work, and all necessary technical documentation concerning the various systems in the building. It also records the frequency of maintenance work or required inspections of these systems (mechanical, electrical, roofing, building envelope, etc.).
Several provisions of Law 16 came into force on January 10, 2020, including the obligation for all divided co-ownerships in Quebec to have a contingency fund study and a maintenance log.
For a newly constructed condominium, the deadline for producing a reserve fund and a maintenance log is six (6) months following the extraordinary general meeting. For an existing condominium, however, the deadline is three (3) years to obtain these two documents.
Furthermore, every five (5) years, the Board of Directors of the Union will have to produce a contingency fund.
While the contingency fund deals with major works to be carried out, the maintenance logbook targets regular maintenance work.
Regular maintenance work can be divided into two, interior work and exterior work.
Exterior maintenance work is snow removal, window cleaning, maintenance of exterior seals, cleaning of ventilation outlets, pool maintenance, cleaning of gutters and roof, maintenance for landscaping and others.
Interior maintenance work includes cleaning stairs, windows and garage, checking garage door opener, servicing automatic door closers and weatherstripping doors and windows and more.
There are also periodic checks of the mechanical systems, such as the elevator, the sprinkler system, the fire alarm system, the extinguishers, the generator, the ventilation, air conditioning and heating system, the pumps, the swimming pool. , etc.
